Systems are the backbone of your business. Systems are what give you the ability to scale with ease. Systems mean freedom.

But do you have any in place? Systems aren’t something you need to wait for until you hit multiple six figures or seven figures. Systems are what you need to put in place right now to even begin to grow your business in alignment with your vision. 

Are you overwhelmed managing all the clients you have? Stressed out over the amount of busy time that is keeping you from thinking about your next big step in your business?

Why Systems are Sexy

Yes, I said that. Systems are sexy. Because they create the space you need to put your CEO hat on to dream big in your business – and your LBD and heels on to live the life you love. Because let’s face it, getting buried in the daily grind doesn’t feel so good. Too many of my clients tell me that when they hear the word ‘system’, they immediately think ‘boring corporate’. #soulsucking anyone? I get it. But when I hear the word ‘system’, I think fiancé time, Netflix and chill, cooking and craft cocktails. 

Reframe what a system means to you and you’ll redefine what a system does for you.

Unfortunately, a lot of business owners step away from their potential because this belief comes up: “This is just too hard.” But growing your business doesn’t have to be so painful. We associate the stress we are feeling with the number of clients we have, when the real issue is that we don’t have the systems to support the business as it is today – and certainly not into the future. If you want to grow your business to six figures without hitting a physical and energetic ceiling, you need six-figure systems.

I’m Sharing my System Secrets

In this podcast episode, I’m giving specific examples of my own systems and the impact they’ve had on my business and my life. 

Here’s one…

Keeping track of my private coaching calls used to be a nightmare. When I started my business and sold private coaching packages, I kept track of my coaching calls with each client on a PIECE OF PAPER! So if I sold a private coaching package with 12 coaching calls, the only way I knew how many calls they had left in their package was to actually write down who had which call on what date. 

I had a process for client scheduling, but not a very good one. It was confusing, time consuming, overwhelming, and didn’t help me create a broader integrated system for client onboarding, client experience and client offboarding. So I designed and automated an industry-leading process for private coaching scheduling by creating gift packages in Acuity. I still use this system years later. The system has scaled with me.

The Four Systems You Need to Scale Your Business

If you want to grow your business to six figures, I highly recommend having these four systems in place – and actually using them.

1. Client Experience

Your job as a business owner is to delight your customers with speed, ease, and excellence in everything you do. The experience you provide to your customers is what you will become known for. Seamless onboarding, engagement and offboarding are only possible with rock-solid systems. Something as simple as an onboarding system has to be delightful for the customer and easy for you and your team. In my business, we use HelloSign to sign contracts. We have contract templates that have been written by an attorney. We insert the client’s name, upload to HelloSign and send. Once the client signs, that triggers a welcome email, a fully executed contract and a payment link in their inbox. I have so many more nitty gritty details to share about my onboarding system, so tune into my podcast for more.

2. Content

The second system I recommend for online business owners is a content system, because content is how online business owners connect with their ideal clients. Your content is gold. Through great content marketing, you build true, deep, and long-lasting relationships with your audience. Great content marketing is only possible with a great content plan and system. Why? Because you have to post often, on multiple platforms, with different types of content, images, links to sales pages. You are likely working with photographers, designers, social media managers and different software tools and apps that bring the content strategy together. If you are managing all that activity on your own, then you are in a constant state of overwhelm, just trying to keep up. That’s a faulty system that is susceptible to human error. Instead, define a content plan and design a content system to support it. What are the systems I need to automate the banking and posting of content? What are my content pillars and how am I going to show up on different platforms to get my message across? What action will I take to repurpose content, reshare content, promote and promote again? How can I make my content work harder for me? Who will do what and when?

3. Payment

Everyone likes the sound of PayPal dings, right? Well, the more clients you have, the more complicated it gets to get paid. Let’s talk about susceptibilities for a minute. What I see a lot is that online business owners don’t have contracts in place, which means your income is susceptible to refund requests at any time. You have no legal protections in place. Another issue I see is that business owners will manually send out an invoice for each and every installment payment. There is a ton of room for error in this way of doing business. Instead, think about designing a payment system using Stripe or PayPal that automatically charges all of the payment plan installations, so you don’t have to do that manually each and every time.  Stripe can charge a client’s card every 30 days and make life a lot easier for you.

In my business, we use Stripe and ThriveCard. Stripe is the merchant processor. ThriveCart is the actual shopping cart and I absolutely love it.

4. Sales

Nothing matters much if you don’t get paid. I recommend you have a rock-solid system to make sales as easy as possible. I have an entire module in my signature Sold out Sales course on the importance of a sales system. How do you take a prospective client and turn them into a paying customer? How do you bring a lead into your business? How do you nurture a prospect relationship into asking for the sale? And of course, once you have the “yes”, how do you hand your prospect off to the client onboarding system?

I hear all the time, “I hate sales calls.” You probably hate sales calls because you don’t have a system to support your sales calls. My sales system gives me the ability to speak to how much my clients make once they have invested in my services. I’m able to focus on my clients’ transformation in my sales calls, which makes me feel great about offering the service to other prospective clients. I’m in this to empower women through entrepreneurship, which only works if I get paid and they get paid.

My seven-step call structure that I teach to all of my clients makes them feel confident and empowered around sales calls.

Function Over Form, Baby

Analysis paralysis will stop you in your tracks every time. So remember, when it comes to system design, focus on function over form. Don’t shut down your business for six weeks and go create the world’s largest manual of standard operating procedures. You don’t need to organize your entire Google drive in a day, create the most beautiful Trello board known to humankind. Please. Just stop. What’s important is that your system is functional and that you actually use it. Style points can come later.

Final Thoughts on Systems…For Now

Remember, anything you do more than once needs a system. Otherwise you are losing time and money. To avoid the overwhelm, it’s important to understand the difference between a process and a system. A process is a task that is a component of a larger system. For example, sending a welcome email to a new client is a process that is part of the larger client experience system. Start with creating the best possible process for sending a welcome email, then scheduling a call, then following up with the client after the call, and on and on….in bite-sized chunks, until you have a full-blown, off-the-charts great system for managing your clients. 

Remember, this, too. Regardless of what you’re leading with on the outside, if you do not have the systems on the inside, your business will break, you will come to resent it, you will pull back and you will shrink. That’s certainly not what I’m here for. And I know you aren’t either. I’m here for the empowerment of women through entrepreneurship. And that does not mean playing small. That means smashing glass ceilings. Systems are my way of breaking through barriers to growth, giving me the support I need to stay in my zone of genius. With systems, I don’t need to focus on the maintenance of my business. I can focus on the growth of my business.
